At KC Public School, Jammu in India, the Round Square Conference 2026 marked a milestone in the school’s journey as we hosted our first ever Round Square Conference, bringing together 106 delegates from 15 esteemed schools across the country. Over five vibrant days, our campus became a space where leadership was not merely discussed but experienced—through dialogue, service, adventure, sustainability, and cultural exchange. Centred on the theme Leadership: Transforming Vision into Reality, the conference invited delegates to explore leadership as a lived experience—where the visions became real through shared effort and the courage to step forward and take the lead. Through every aspect, be it the keynote addresses, the immersive Baraza sessions, community experiences, and shared cultural celebrations, the conference transformed into a living lesson in leadership.  

Turning Vision into Experience: What we Hoped to Build, and What truly happened

Being first-time hosts, we wanted every delegate to leave with a practical, lived understanding of leadership rather than just a theoretical one. We worked to ensure the theme resonated throughout the itinerary, moving beyond keynote speakers’ addresses, to influence every interaction, challenge, and shared moment. Looking back, this came through most clearly in the three Baraza sessions, which became a space for honest reflection and exchange.

“Where do I even begin?” the Conference President Aseemta reflects. “This experience has been nothing short of unforgettable. At its heart, this conference stood for leadership and teamwork—not just as ideals, but as responsibilities. We set out to ensure that every delegate left not only with memories, but with the determination to lead with empathy and understanding—and it was truly rewarding to see that take shape. Each session was built on ideas from the keynote addresses, encouraging delegates to reflect individually before engaging in collaborative dialogue. By moving through different activities, delegates built a personal connection to what leading actually feels like in practice.”

In bringing our vision to life, the décor team played a vital role. For months before the conference, they worked to transform every venue into a space that reflected our theme, our culture and school identity. From welcome displays to stage settings, their creativity shaped an atmosphere that was warm and purposeful, turning our hopes for the conference experience into something delegates could truly feel. 

What Made the Conference Shine  

The Organising Committee members spent months in preparation, balancing, planning meetings and rehearsals with detailed walkthroughs to ensure every logistical element was covered, and this was evident in how smoothly the event transitioned from one segment to the next. Whether it be helping with schedules, assisting with transitions, or responding to curious questions, the Organising Committee consistently placed delegates first.

Anadi, Head Girl and a member of the Organising Committee, shared: “From helping prepare handmade recycled notepads to packing the kit bags, it was exciting to be involved in the preparations. The highlight, however, was connecting with the delegates and ensuring they felt welcomed and cared for throughout the conference.”

Every moment, from the keynote addresses to the Retreat Ceremony at Suchetgarh, was designed to inspire and strengthen our sense of belonging and community. Activities like ‘The Community Palette’ and ‘Gratitude Tree’ weren’t just on the schedule, they were the heart, weaving compassion into our leadership journey. The fun sparks during the ice-breaking session was the delegates’ first experience of collaboration that lay the foundation for teamwork and lasting enthusiasm. 

Subhagi, who had helped lead the ice breaking session, reflected: “This session showed me how quickly people can become a team with purposeful interaction and positive energy.” The Compering Team was the voice that carried the conference forward, bringing confidence, clarity, and presence to every transition, ensuring each segment of the conference was bound together to make it a whole, in a way that echoed the ideals of Round Square and the theme of the conference. Sherill shared: “Compering for The Folk Odyssey and watching the audience slowly immerse themselves in Jammu’s vibrant culture and music, with so many getting up to dance, was pure joy.”  

The Moments That Caught Us by Surprise

One unexpected highlight of the conference was how the school dinners gradually became moments of genuine community. With live music playing softly, delegates gathered naturally, sharing stories and laughter that reflected a true sense of belonging. What began as structured evenings often evolved into warm, unscripted gatherings. The cultural evening stood out as a conference highlight. Vanshika, Hospitality Team, recalled: “One delegate went from anxious to a standout performer after simple encouragement.”

Where the Conference Left Its Mark  

The Baraza Sessions: The Baraza sessions stood out as the intellectual heart of the conference, earning the most enthusiastic response from delegates. The first Baraza focused on leadership, building a shared vision and achieving it together. The second Baraza used adventure as a lens to explore courage, stepping outside one’s comfort zone, and visualising adventure in more imaginative ways. The third Baraza took a creative turn, requiring teams to collaborate on performances that expressed their perspectives on social themes and the specific societal changes they hope to lead.

Cultural Immersion: The conference opened with cultural warmth through the Welcome Ceremony and the Cultural Extravaganza at the Opening Ceremony, featuring Dogri folk songs and dances. Adult delegates received lavender-inspired tokens — a nod to Jammu’s identity, with its Bhaderwah district known as the lavender capital of India, and a gesture of the region’s gracious hospitality. The Jammu Bazaar was a standout, celebrating local culture with handmade creations and traditional crafts from Jammu.  

Service and Environmentalism: The conference’s lasting impact was largely due to its integration of environmental stewardship with community service. From mixed-delegate teams in sessions to accessible venues and roles, participation crossed schools, regions, and abilities. The service session with children from nearby slums as guests of honour, and the fundraiser supporting Louis Braille Memorial Residential School for visually impaired girls, reflected our commitment to equity. Leadership here meant creating space for all to belong, contribute, and be celebrated. KC Paryavaran Sadan, the Environment Club of our school, organised Sustainability talks and hands-on activities for the delegates, like creating seed paper balls, neem pesticides, and bio-enzymes, evoking the spirit of Environmentalism.  

Round Square Prefect, Qudsia Zohab, shared: “Our Conference stood as a true reflection of the Round Square ideals with each activity bringing out the essence of experiential learning. It was the collective contribution of every delegate and OC member that brought the Round Square ideals to life, transforming the Conference into an unforgettable experience.”  

When Plans Met Reality: Challenges That Tested Us

Not everything unfolded exactly as scheduled, and these moments became opportunities to enable the team’s adaptability and coordination. When the first keynote address was delayed, the organizing committee responded promptly by adjusting refreshments, revising departure timings, and arranging an impromptu Dogri Folk Song performance to ensure the flow of the day remained uninterrupted. The flexibility built into the original schedule allowed these changes to be managed seamlessly.

Another instance arose at Suchetgarh, where unexpected downpour brought the Retreat Ceremony to an early close. Even then, the team acted efficiently, coordinating the Museum visit, transport arrangements and refreshments while ensuring the experience remained smooth and comfortable for all delegates. Lakshay from the Organising Committee reflected, “Those were the moments when we truly realised the value of staying calm and adaptable.” Rather than setbacks, these situations became reminders of the strength of teamwork. Ria, a part of The Backstage Heroes: Logistics Team, shared, “Being part of the logistics team was definitely a test to our managing abilities and decision-making skills, but watching things run and align smoothly made it all worth it.”  

Four Key Takeaways from KC Public School Jammu

  1. Preparation and Adaptation – Preparation provides structure, but adaptability ensures success. Unexpected changes, from last-minute adjustments to coordinating large groups, are inevitable; responding calmly and effectively keeps everything on track.  
  2. Start Early and Plan – Flexibly Beginning preparations early is key, as timelines often extend. Building buffer time into the itinerary allows for smoother transitions when sessions overrun. Having contingency plans, especially for outdoor activities is essential.  
  3. Strength in Team Alignment – A well-aligned organising committee ensures seamless execution. Clear roles, strong communication, and focused teams like stage managers, compering team, Baraza Leaders, backstage heroes, logistics team, hospitality team and campus navigators keep everything efficient.  
  4. Experience Over Execution – Logistics matter, however, it is the experience that truly resonates with delegates. Immersive elements, such as cultural exchanges and team-building activities, create lasting impressions that go beyond formal proceedings. When organizers are genuinely involved, it sets a positive tone for everyone. “Seeing all the delegates working together as a team throughout the Conference really made everything truly special.” shared Vice Round Square Prefect, Aryaveer Pal Singh.  

Beyond the Closing Ceremony:

Our lasting reflection For KC Public School, Jammu, hosting the Round Square Conference 2026 was far more than organising an event, it was the beginning of a legacy. As first-time hosts, we discovered that leadership reveals itself most powerfully when young people are given the opportunity to take ownership and work together with a shared purpose. Across four memorable days, delegates and organisers came together to meaningfully engage with the Round Square IDEALS – of Leadership, Service, Environmentalism, and Adventure – not just in discussion, but in true spirit and action. Rather than a conclusion, this Round Square conference serves as a reminder that the Round Square IDEALS are not confined to a single event, but are meant to be carried forward in the way we think, act, and contribute beyond it. In that sense, it stands not only as an important moment for our school, but as a lasting reflection of what young leaders can continue to shape, with intention, responsibility, and heart.
